Our Commitment To Privacy:
Your privacy is important to us. To better protect your privacy we provide this notice explaining our online information practices and the choices you can make about the way your information is collected and used. To make this notice easy to find, we make it available on our homepage and at every point where personally identifiable information may be requested.

 


The Information We Collect: 
This notice applies to all information collected or submitted on the Sarasota Transcriptions website. On some pages, you can make transcription requests and register to receive additional information, the types of personal information collected at these pages can be:

Nature of Your Transcription



The Way We Use Information:
We use the information you provide about yourself when placing an order only to complete that order. We do not share this information with outside parties except to the extent necessary to complete that order.

We use the information you provide about someone else when placing an order only to complete your order or to confirm delivery. We do not share this information with outside parties except to the extent necessary to complete that order.

We use return email addresses to answer the email we receive. We may use the email addresses you provide to contact you about any special pricing or new services we might be offering.  Such addresses are not used for any other purpose and are not shared with or sold to outside parties.

We may use non-identifying and aggregate information to better design our website and to share with advertisers. For example, we may tell an advertiser that X number of individuals visited a certain area on our website, or that Y number of men and Z number of women filled out our contact or file upload form, but we would not disclose anything that could be used to identify those individuals.

Finally, we never use or share the personally identifiable information provided to us online in ways unrelated to the ones described above.

 

Our Commitment To Data Security:
To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect online.

 


Our Commitment To The Privacy of Children:
Protecting the privacy of the very young is especially important. For that reason, we never collect or maintain information at our website from those we actually know are under 13, and no part of our website is structured to attract anyone under 13.  At the same time, no part of our website is either intended, or regarded as unsafe for viewing by someone under 13.  Occasionally, we are contacted by students for assistance with class projects*.  In the event our employ is requested by someone we know to be under the age of 18, we will seek parental permission.  If a parent or guardian cannot be contacted in person or by telephone (as email alone is just too vague for such a sensitive matter), or if parental permission is refused, all contact with the under 18 person will be terminated immediately and any information gathered about said under 18 person will be destroyed.  If parental permission for employ by the under 18 person is granted, through their assigns as guardian, a true and complete copy of the completed project will be provided the parent, or guardian, for their distribution to the under 18 person upon project completion.  The project will be deleted one week after completion (to allow time for thorough review of the project by the client) instead of our usual 90 days so it will not be available after one week from completion, if requested.  All information gathered about the under 18 person will be destroyed upon project completion and documentation for the project will be held under the parent's name, for tax purposes, as they granted assigns as guardian.

How You Can Access Or Correct Your Information:
You can access all of your personally identifiable information that we collect online and maintain it by contacting Sarasota Transcriptions by email, snail mail, or telephone. We use this procedure to better safeguard your information and verify we are actually dealing with our client and not a fraudulent party.

You can correct factual errors in your personally identifiable information by sending us a request that credibly shows error through email or snail mail.  We will contact you to confirm. 

To protect your privacy and security, we will also take reasonable steps to verify your identity before granting access or making corrections.

Confidentiality Policy
 
Sarasota Transcriptions maintains strict client confidentiality and we have several safeguards in place to ensure confidentiality. By using our secure 128-bit SSL HIPAA-compliant File Transfer Protocol site (FTP) supplied by Send This File, it is virtually impossible for files to go astray. We also ensure that the transcript created for you is solely for your purpose and not reused for any other purpose without your written consent.

While some companies list who their clients are, we at Sarasota Transcriptions feel that client confidentiality is of the utmost importance and we maintain strict client confidentiality.  You will never have to worry about a conflict of interests because the information stops here.  No client information provided to us including, but not limited to, client names, addresses, payment information, or project content, is ever transferred, released, traded, rented, or sold to third parties, or used for advertising or promotional purposes.  (Although when dealing with legitimate legal entities, we will comply with what is required by law.) 
 
 
Confidentiality Agreements: 
We understand the importance of confidentiality.  The services we provide at Sarasota Transcriptions are highly confidential and we treat them as such. We will be happy to sign a confidentiality agreement that you have prepared or we have a standard confidentiality agreement on file that we would be pleased to sign, date, and provide you with a copy at your request.
